Capcium is looking for a motivated and talented Procurement Specialist to join the Production team.

Reporting to the Director of Production, the Procurement Specialist is responsible for managing the procurement of all Raw Materials, API's and excipients, in support of all commercial activity. Responsibilities include the creation and management of information in Rootstock, issuing purchase orders and tracking material deliveries and information requests for the operations team. Additional responsibilities include maintaining supplier relationships, ensuring satisfactory service levels, negotiating pricing with suppliers, addressing quality and compliance issues, leveraging market intelligence, and preparing reports including data analysis and recommendations for senior management. The Buyer will work within the Operations Team to increase efficiencies and ensure that the supply chain is properly served by our vendors and suppliers. He/ she will be responsible for the following:

Key responsibilities

  • Conduct procurement activities within the firm's applicable Policies and Procedures, and applicable laws and regulations.
  • Collaborate with department's requests to ensure purchases meet the quality, cost, and functionality; and analyze forecast requirements to meet sales demand (Demand planning/ROP management).
  • Make procurement decisions with respect to cost, quality & delivery reliability via Blanket Orders and individual Purchase Orders.
  • Utilize proper knowledge of GMP's to ensure accuracy and completeness of regulatory documents.
  • Develop working relationships with all vendors and suppliers to facilitate and improve communication.
  • Coordinate with vendors and suppliers to troubleshoot any potential problems in the supply chain that might affect cost, quality, or delivery times.
  • Monitor open purchase orders to ensure on-time, in-full delivery per the needs.
  • Coordinate with the Planning and Logistics teams to understand critical stock levels and delivery schedules of product to all markets.
  • Execute to the purchase order process effectively and efficiently.
  • Process change orders and requests for quotes to suppliers.
  • Ensure continuous, reliable supply of goods and services that drives an uninterrupted flow.
  • Qualify vendors, evaluate bids, and negotiate prices and terms for purchased goods.
  • Purchase materials and supplies at the most favorable terms for the Company.
  • Track purchases, monitor vendor quality, and maintain a database of vendor information.
  • Collaborate with business managers to perform regular supplier performance evaluations.
  • Provide procurement and information support to the BD, Operations, Engineering, Regulatory and Research & Development departments.
  • Interface with the Finance department to ensure proper reconciliation of supplier invoices and timely resolution of any questions.
  • Maintain up-to-date knowledge in procurement practices and technologies as well as in market trends related to assigned categories of goods and services.
  • Help develop applicable Procurement policies, practices, and methods.
  • Possess the ability to work under pressure, manage multiple projects simultaneously, meet tight deadlines, and work in cross-functional international teams.
  • Develop and implement SOP's and processes.
  • Perform other duties as assigned.

Education and/or Experience

  • Bachelor's Degree in Science is preferred, or Business Administration, Operations Management, or equivalent;
  • Minimum 5 years of experience in sourcing, buying, inventory management and procurement;
  • Pharmaceutical or nutraceutical experience, required;
  • Previous experience with RM and API's, required;
  • Good understanding of FDA, Health Canada and NHP requirements;
  • Previous soft gel operations experience, an asset;
  • Familiar with GMP environment;
  • Bilingual French/English – spoken and written;
  • Extensive knowledge of MS Office products (Power Point, Excel, Word, Project);
  • Have organization, planning and prioritization skills to execute multiple projects simultaneously while adapting to changes in business requirements in a fast-paced environment;
  • Able to define problems, collect data, establish facts, and draw valid conclusions. Possess the ability to interpret an extensive variety of technical instructions and deal with several abstract and concrete variables;
  • Able to analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations;
  • Able to convert metric units and work with mathematical concepts such as fractions, percentages, and ratios and apply to practical situations;
  • Have working knowledge of procurement tools, processes, and practices for purchasing goods via electronic methods with vendors;
  • Possess excellent written and verbal communication skills, including presentation skills.
  • Ability to work as part of multi-functional teams and ability to collaborate with various levels of management and employees;
  • Excellent partnering skills and ability to build strong relationships;
